Compliance Support - Legislation Portal

The SafetyPoint® Portal:

  1. Is extensive, providing document-level access to Australian OHS, Workers Compensation and Injury Management Acts, subordinate Regulations, Codes of Practice and prescribed Standards
  2. Is categorized by jurisdiction and subject for easy reference
  3. Is fully searchable, making it easy for all personnel to find regulations that apply to the work they are undertaking
  4. Can store purchased Standards for reference by all personnel
  5. Provides a central library and reference point for each organization's specific regulatory and guidance information

 

 

Compliance Support - HelpSafe® Resource Library

Each SafetyPoint® system includes a HelpSafe® compliance support resource module that can be used to supplement the organization's existing OHS management program, and includes:

Document Management

SafetyPoint®'s document and data control capacity is aligned with AS/NZS 4801, 4804 and BS OSHAS 18001 (best OHSMS practice) requirements.

  1. Documentation is uploaded to SafetyPoint®'s document libraries in OHSMS categories and sub-categories
  2. Document handling permissions determine who can access, edit, approve, manage and distribute documentation
  3. Version control ensures only the current approved version is available to personnel
  4. Version history is retained and allows reference to, restoration and/or deletion of earlier versions

OHS Consultation Team Workspace & Records Centre

SafetyPoint® provides a secure meeting centre and workspace for every scheduled OHS Committee or Team meeting. Each workspace communicates and records that meeting's:

Records, Reports & Archive Centre

Each organization's SafetyPoint®'s records area is designed to provide OHS records management in accordance with OHSMS Standard requirements.

  1. Key report forms can be selected from a report forms menu, opened, completed and submitted
  2. New report submissions can be set to trigger an alert to designated managers
  3. Submitted report approvals, security and circulation can be controlled
  4. Existing and ongoing records can be uploaded and managed in the same way
  5. Superseded documents can be archived and managed
  6. The Records centre is flexible and can be customized to suit your organization's particular requirements

Communication - Internal Communications and External News  

Internal OHS communications and relevant external OHS news can be posted to SafetyPoint® and made accessible organization-wide

  1. Communications are classified as new, current or old, and are automatically archived once they reach the archive date set
  2. Target groups can be nominated, and automated email notification and distribution lists can be activated
  3. Communications can be brought into view from the SafetyPoint® home page
 

Communication - OHS Activities, Events, Contacts, OHS-Preferred Suppliers  

SafetyPoint® enables organization-wide dissemination of scheduled OHS events and activities and OHS-relevant contact information.

  1. OHS events such as meetings, conferences, training, inspections and reviews can be scheduled and communicated
  2. SafetyPoint® events calendar can be synchronised with MS Outlook®, linking OHS into normal work schedules
  3. Automated email notification and distribution lists can be activated
  4. Organization, OHS, workers compensation, injury management, industry and preferred supplier contact personnel and contact details can be made available organization-wide

Participation in (Collaborative) Project & Issue Management

SafetyPoint®'s project management tools allow collaboration and participation in OHS projects, tasks and issue resolution.

  1. OHS action tasks can be created, assigned and prioritised
  2. OHS issues can be logged, assigned and prioritised
  3. Time frames can be set, and due dates tracked
  4. Action completion and issue resolution can be recorded and closed out to archive
  5. Overdue tasks are automatically flagged in the Overdue list
  6. Automated task assignment notifications can be sent
  7. Teams can manage, consult together and collaborate on tasks and projects across operations, geography, and time

SafetyPoint® provides simple self-audit and survey tools, enabling effective and inexpensive:

  1. Creation, conduct, analysis and reporting of organizational or work group practice, culture and/or safety awareness and knowledge surveys
  2. Preparation for external audits, such as self-insurance and/or OHSMS certification audits
  3. Identification of OHS gaps that may cause harm if uncorrected
